The Königliche Porzellan-Manufaktur Berlin (KPM Berlin) is the oldest artisan business in Berlin still in production today. Since its foundation by Frederick the Great in 1763, the manufactory has stood for handmade luxury, style-defining design and enduring values. It has collected important treasures and relics of lasting value in its archive.

The Stiftung Königliche Porzellan-Manufaktur Berlin is dedicated to the preservation, promotion and further development of this historic, cultural heritage of the porcelain manufactory as a unique Berlin cultural asset.

The Administration and Financial Accounting Clerk position covers a wide range of organizational, administrative and support tasks to ensure the smooth running of an office.

THE TASKS INCLUDE IN PARTICULAR

Administrative tasks

  • General office organization (e.g. orders, mail processing, answering the phone)
  • Processing e-mails and correspondence
  • Creation and management of documents, logs and reports
  • Appointment management for supervisors and employees
  • Filing and document management

 

Financial accounting and budget management

  • Preparatory accounting
  • Payment transactions: monitoring of accounts, salaries, health insurance contributions and payments
  • Managing the cash register and preparing cash statements
  • Support in the preparation of budget plans and financial reports
  • Cooperation with the tax consultant or accounting department for the preparation of annual financial statements

 

Personnel administration

  • Maintenance of personnel files and administration of personnel documents
  • Support with the preparation of employment contracts, references and certificates
  • Monitoring vacation and sick leave
  • Contact person for employees in administrative personnel matters
  • Administration of payroll accounting (if necessary in cooperation with external service providers)

 

IT and office management

  • Management of office infrastructure and equipment (e.g. IT systems, software licenses, office supplies)
  • Coordination of maintenance work and IT support
  • Introduction and management of digital tools to increase efficiency

 

Communication and stakeholder support

  • Contact for internal and external partners
  • Maintenance of the contact database
  • Processing of donation receipts

Professional qualifications

  • Commercial training: Ideally a completed apprenticeship in office management, administration or a similar commercial qualification
  • Knowledge of financial accounting: experience with preparatory accounting, payment transactions, cash management
  • Experience in human resources: Familiarity with administrative tasks in the HR area
  • Basic IT skills: Confident handling of MS Office
